Facilitation Support Services Requirement:  The general requirement is to utilize the contractor’s support services two times per year, for the JMWWR pre-planning meeting (3 ½ days to include travel) as well as the actual event (7 days to include travel), to provide full support for the JMWWR.  Attendees typically do not exceed 250 people. The contractor shall be available and attend one pre-planning meeting for the JMWWR, which will be held at the host hotel.  The pre-planning meeting will be held in August 2024 timeframe and will last for 1 day and 2 days travel.  The contractor shall sign the contract with the host hotel for the JMWWR no later than 31 October 2024.  The contractor will be responsible for payment of all charges incurred at the host site for the JMWWR.  Charges include (but are not limited to) meeting room rental, food and beverages, audio visual, drayage services, hotel shipping and receiving, hotel business center charges and any other mandatory fees imposed by the hotel.  The contractor will collect/accept credit card payment(s) for vendor fees and /or conference fees, as well as US government food and beverage fees (if required) and apply these fees from the final hotel bill.

The contractor will be required to purchase replenishment items for equipment required to support the JMWWR to include but not limited to projectors, computers, printers, sound equipment, and conference items.  All briefings and working groups held during the JMWWR are unclassified.
