Description

The American Embassy Nicosia accepts quotations for the rental of Hotel Conference Rooms for the period of October 15-18, 2024, in Limassol. The hotel shall be able to provide accommodation for 15 rooms for the night of October 13th and 135 rooms for the nights of 14-18th October, 2024.  The hotel shall be able to provide a link for guests to book and prepay the accommodation at the same location as the conference rooms.  The payment of the accommodation shall be the responsibility of the guests occupying the rooms.  

Requirements: 

(Tuesday – Friday October 15 – October 18, 2024) 
(a) One large conference room for 125 people, for 4 days  
(b) Two breakout rooms that can house 50 people each, for 4 days  

(c) Lunch for the 4 main conference days, 
(d) Coffee breaks/Snacks for the 4 main conference days. 

Additional: 
- Conference Room + 2 breakout rooms  
- 3 microphones in conference room (1 lapel + 2 handheld), 2 microphones in each breakout room (total of 2 lapel + 2 handheld) 
- Podium in each room 

- Projector 

- Laser pen pointer 

- Big screens (2 if the room is very big) 

- Wi-fi 

- Water and glasses on table (1 still, 1 gas) empty bottles to be replaced during coffee breaks and lunch 

- Lighting/sound/electrical engineer or call 

 
- 2 coffee breaks each day 
• Morning (coffee, tea, sodas, pastries/fruit) 
• Afternoon (coffee, tea, sodas, sweets/fruit) 
 
- Buffet Lunch – 4 days 
• Meat, fish, pasta, soup, salad, fruit, sweets

The offers must be submitted in English, via email to NicosiaContracting@state.gov  marked RFQ# 19CY6024Q0019 and must be received on or before August 7, 2024, at 1200 hours. 

All companies have to be registered in the SAM (System for Award Management) Database https://www.sam.gov  prior to contract award pursuant to FAR provision 52.204-7.  Therefore, prospective offerors are encouraged to register prior to the submittal of quotations/proposals.
