Notice of Intent To

Solicit and Award a Sole Source Firm-fixed-price Contract to On Services, LLC.

Description:

The 502d Contracting Squadron, 395 B Street West Suite 2, Joint Base San Antonio-TX 78150, intends to solicit and award a sole source firm-fixed-price contract to On Services, LLC to provide the Venue and Audio-visual equipment to support the Air Force Recruiting Service Senior Leader Symposium in Atlanta Georgia.  On Services, LLC works with Starling to provide the venue which was the only venue that was found capable of meeting the symposium requirements.  This is a Sole Source synopsis published for informational purposes only. The action will be executed under Federal Acquisition Regulation (FAR) Parts 12, Acquisition of Commercial Items, and 13, Simplified Acquisition Procedures.

There were several venues contacted in Atlanta, but no other venue was found that could meet all the Governments following requirements for the symposium:

The venue must accommodate the dates of the symposium 19 Aug 24 – 23 Aug 24.

The venue must accommodate lodging within the facility for up to 185-220 rooms.

The venue must be close to airport public transportation options to and from the venue.

The venue must accommodate 220-250 people in the main meeting room and 50-58 people for the (4) breakout rooms.  The venue must also set up and tear down all tables and chairs for all the rooms.

The venue must have adequate internet/Wi-Fi for the main meeting room and each of the four (4) breakout rooms and possess the ability to connect laptop and display slides for audience viewing.

The venue shall also accommodate the AFRS SLS in assisting with any communication outages and unforeseen technical difficulties with A/V equipment during the above specified hours. The venue must also be able to replace equipment in case of technical difficulties or failure. The venue must be able to immediately resolve issues as they arise for the duration of the summit.

The venue shall be able to provide professional and or broadcast quality audio and produce exceptional sound quality for the duration of the summit.

The venue shall provide one (1) complimentary private office space and one (1) storage area to house materials/supplies, and one foyer for event registration.

The venue shall provide complimentary water, beverage stations and light snacks with the rental of the main conference room.

The proposed procurement will be a Sole Source under North American Industry Classification System Code (NAICS) 721110 - Hotels (except Casino Hotels) and Motels. Business size standard for NAICS 721110 is $40M.

The determination by the Government not to compete this proposed contract based upon responses to this notice is solely within the discretion of the Government. Information received will normally be considered solely for the purpose of determining whether to conduct a competitive procurement. This notice of intent is not a request for competitive quotations.  However, all responsible sources may submit a capability statement, proposal, quotation or exception to the intent to purchase on a Sole Source basis, which shall be considered by the Government if received by 1:00 PM CDT, 12 August 2024.
