Mission Mobile Device (EFB/eTool) Users Forum

Air Force Reserve Command

The Air Force Reserve Command is seeking quotes from hotels/conference centers that can accommodate the Mission Mobile Device (EFB/eTool) Users Forum. The forum is expected to host +/-100 participants, industry exhibitors, and requires specific amenities and services.

Requirements:

  1. Location: The facility must be located near or within 25 miles of a major airport to make use of ride share services and eliminate the need for attendee rental cars.
  2. Capacity: The facility must be able to accommodate 100 participants in the main conference room.
  3. Exhibition Space: The facility must have sufficient space for industry to exhibit their military EFB capabilities and offerings.
  4. Breakout Sessions: The facility must be able to support 4 simultaneous breakout sessions of 20–30-person capacity
  5. VIP Meeting Area: The facility must have a VIP meeting area that can accommodate 8 individuals.
  6. Audio-Visual Equipment: The facility must provide A/V equipment for the main conference room and video projection capabilities in the smaller breakout areas.
  7. Accommodations: Facility must have adjoining hotel accommodations and can block +/-60 rooms at the published government per diem rate or lower.

Desired Amenities:

  1. Free Wi-Fi
  2. On-site catering and dining options
  3. Fitness center and/or wellness programs
  4. Business center and meeting services

Submission Requirements:

Interested hotels/conference centers must submit the following information:

  1. Facility name and location
  2. Contact information (email, phone, and address)
  3. Detailed description of the facility's amenities and services
  4. Grand Total (Excluding tax)
  5. Please put your CAGE code on quote
  6. Room rates and availability for the desired dates
  7. Information on A/V equipment and technical support
  8. Information on exhibition space and breakout session rooms
  9. Any additional information that may be relevant to the selection process

Timeline:

  • RFI Response Deadline: Please submit all quotes NLT 19 December 2024.
  • Forum Dates: 24-28 March 2025
