Description

The request for quote is being amended to incorporate a brand name justification, a revised  Performance Work Statement (PWS) with changes to Section 2. and Section 4.2. The due date for quotes has been changed.  Responses are due no later than 4:00 pm ET, Monday, May 20, 2024.  See  attached revised PWS, brand name justification, and responses to questions and answers.

A list of site showing attendees has also been attached


The proposed planning of the conference room (3841-3845) is to create a user-friendly conference area that will be used by FPAC-BC FMD. FMD will use the space for planning and training purposes. For such purposes proper audio and camera needs must be met so that employees can interact with other employees in other locations.  

  • The Contractor shall provide/install two (2) new 86" Class 4K UHD Displays, two (2) new wall mounts, including all labor and equipment/supplies necessary for installation.
  • The Contractor shall provide/install one modular video conferencing system including all labor and equipment/supplies that provides the following:
    • Microsoft Teams conference room teleconference equipment
      • Specifically, hardware MUST either be Polycom or Cisco devices. These are the only devices that are currently certified for use on the USDA network.
    • Quality Audio
      • Ensures voice clarity for the entire room
      • Keep background noise and side conversations out of meetings
    • Seamless connections
      • Delivers an easily accessible modular room solution by seamlessly connecting to cameras, microphones, and other 3rd party components.
    • Auto Tracking Camera
    • Wireless connections for laptops
  • Final acceptance of the solution will be reliant upon approval from USDA Client Experience Center for compatibility with Department of Agriculture systems and environment. 
  • The Contractor shall provide “help desk” support to resolve equipment operations deficiencies from 8:00 AM to 4:00 PM EST during normal workdays.
  • The Contractor shall provide onsite support within 48 hours after notification to resolve equipment operations deficiencies not resolved by “help desk” support, during the warranty period of the equipment.
  • The Contractor shall provide onsite support during the initial Board meeting.

  • Period of Performance:  Completion of Installation, Test, and Training is required no later than June 4, 2024.
