Description

NOTE as of 27 July 2022:  There have been some Q&A's posted as an attachment.  

NOTE:  There will be an Industry Day (Site-Visit) on 19 July 2022 from 1000 until 1300.  Please contact Mr. Mike McCray at 1-757-660-8096 for assistance getting on the installation.    

Below is a brief item description.  All quotes should be prepared in accordance with the attached PWS as well as the Combo S/S.  There is also an Open House (site visit) to the Conference Room.  This will be as follows:

1. The Organization/Unit is requesting utilization of funds for the purchase of name of items.
2. The Contractor shall complete all aspects for upgrading the AV equipment in the APEX
Conference Room in bldg. 3001. When completed the conference is complete it shall have the
following items and capabilities.
 Any existing equipment that shall not be used by the Contractor in upgrading the
conference room shall be removed to a designated space for Government personnel to
dispose of.
a. Item Number 1 – The Contractor shall install a 130” TV monitor [single display]
replacing current, segmented monitor section in the APEX conference room. Monitor
shall have the following minimum characteristics:
 (diagonal) 1.5mm pixel pitch commercial-grade direct-view LED (dvLED)
display
 fixed mount in place of existing 2x3 projection video wall, (which shall be
uninstalled, palletized, and turned over to customer
 minimum 1080p, full HD resolution
 brightness 500 nits after calibration
 contrast 5,000:1
 pixel configuration SMD 3-1
 refresh rate 3,000 Hz
b. Contractor shall install two (2) minimum 65” wall mount displays (currently located
opposite main display) in APEX conference room.
 Minimum 1080p, full HD resolution
 HDMI input
c. The Contractor shall replace all equipment in current GFE (Government Furnished
Equipment) rack, with new equipment upgrades. Equipment shall include the following
minimum components:
 digital AV switcher
 power supply unit (with a low power sleep mode)
 audio power amplifiers (sufficient to drive all speakers installed in the APEX
conference room)
 custom-configured audio DSP system (controls at podium and portable pad)
 UPS/surge protector (sufficient to allow for safe shutdown of system)

 power distribution units (sufficient to drive all equipment)
 control system processor
 Audio visual network PoE switch
 HD-SDI switcher + USB capture unit
 wireless content sharing unit
 capable for upgrade to digital wireless mic receivers
 CATV box capable for connections w/ HDMI out
d. Contractor shall upgrade all audio speakers in the APEX conference room to provide
clear voice and music capability.
e. Contractor shall remove existing drop microphones and install eight (8) new desktop
microphones with noise cancelling to prevent ambient noise during presentations.
f. Contractor shall install new podium microphone with noise cancelling to prevent ambient
noise during presentations.
g. Contractor shall provide two (2) touch panel displays with full control capability with the
following minimum characteristics:
 Displays shall be wireless
 Displays shall have full Audio visual control over lighting system in the APEX
conference room
 Displays shall have full control over camera systems
h. Contractor shall provide five (5) HDMI inputs (one at podium, four at desktop panels) for
Audio Visual presentation.
i. Contractor shall provide three (3) HD camera systems. Cameras shall cover podium
presenter, the main display, and all 8 microphone positions at the desk. (will
replace/upgrade current cameras in the APEX conference room.
j. Upon completion of the upgrade the Contractor shall provide the following deliverables
to the Government Point Of Contact (GPOC).
 All OEM manuals and documentation for items installed in the form that they
were provided to the Contractor in.
 A Diagram showing how the different components are interconnected showing
the general location of the equipment and how they are routed to the equipment
that they are connected to. This shall be provided in a hard copy or digital format.
 If the contractor does not use a Commercial off the shelf operating systems for the
AV system a backup copy of that operating system shall be provided.
k. The Contractor shall provide a Commercial warranty covering all parts and labor for
three years or more after installation.
