This is a Request for Information (RFI), this is not a Request for Quotes (RFQ) or Request for Proposals (RFP). No formal solicitation document exists at this present time. This is not a solicitation announcement. The purpose of this Sources Sought notice is for market research to gain knowledge of potential vendors qualified under NAICS code search for 333316 Photographic and Photocopying Equipment Manufacturing PSC W075 Leas or Rental of Equipment-Office supplies and Devices with a NAICS size standard of 1,000 employees for the Washington DC VAMC. Responses to this Sources Sought notice will be utilized by the Government to make appropriate acquisition decisions. After review of the responses to this Sources Sought notice, a solicitation announcement may or may not be published in SAM.gov or GSA ebuy. STATEMENT OF WORK Multi-function Devices (MFD s) for the Washington DC VA Medical Center (DCVAMC) GENERAL INFORMATION Introduction General Information: 1.1 The Washington DC VA Medical Center (DCVAMC) is seeking information from interested parties willing and capable of providing firm-fixed pricing on leased multifunctional devices and Managed Print Services (MPS) services throughout the DCVAMC region. DCVAMC currently has a requirement for 252 multifunctional devices with the potential for as DCVAMC expands and contracts to meet increasing demand for care. Scope of Work: 2.1 Contractor shall provide multifunctional device services to include provision of all consumable supplies (except paper), periodic preventive maintenance, corrective maintenance (repair) and operator training. Multifunction (printing, faxing, copying, and network scanning) devices will be capable of supporting Secure Personal Identifier Verification (PIV) printing for both Veterans Health Information Systems & Technology Architecture (VistA) and Microsoft print jobs, as well as secure emailing and faxing. Additional requirements include comprehensive software solution for tracking, ordering, and monitoring maintenance, supply ordering, and service history including up-time documentation. 2.2 DCVAMC currently requires 252 multifunctional devices. As DCVAMC reduces its desktop printers through attrition, it is anticipated that the requirement for multifunctional devices will change to include an increase in quantity and/or relocation of existing devices to strategic points to gain efficiencies. Government will not accept reconditioned, remanufactured, renovated, or previously used devices. Each device proposed must be new models that are in current production and within the life cycle of the contract to be consistent with normal commercial practices and standards. 2.3 The Contractor retains ownership of all equipment, parts, supplies, etc. provided under this Contract and is responsible for their removal at the end of the Contract at no cost to the Government. For security purposes prior to removal of MFDs, hard drives shall be removed by the Contractor and surrendered to the Government at no additional cost. Period of Performance: 3.1 The Base Year will be January 1, 2023 December 31, 2023 with (4) option periods from 1 January 31 December 2027. Type of Award: 4.1 Contract Type shall be a Firm Fixed Price Contract for a base year and (4) option years exercised at the discretion of the government. Place of Performance: 5.1 The DC VA Medical Center Region. Additional places of performance may be added within the geographical service area of the DC VA Medical Center (ie.) Maryland, Fort Belvoir, NCO 5, CBOC s and other DCVAMC medical facilities as directed by the Contracting Officer in response to expansion of Veterans Administration services.
